Advancement Coordinator

The Advancement Coordinator is responsible for furthering the mission of St Vladimir’s by supporting the advancement team with all advancement related efforts. This role is responsible for executing tasks such as, but not limited to, donor research, processing donor acknowledgement letters, executing thank you strategies, ensuring the effective use of our relationship management database to facilitate clear communication, answering phones, taking meeting notes, reporting, managing projects, and prompt stewardship to donors and alumni. As a member of the Advancement team, this critical role works closely with the Database Manager to maintain constituent records and build reports for analytics and communication to advancement leadership. The Advancement Coordinator reports to the Chief Advancement Officer and works closely with the Director of Annual Giving, Events & Hospitality Coordinator and with the Database Manager.

Daily/Weekly Advancement Duties

  • Attend and document all advancement meetings and distribute notes. 
  • In coordination with the finance department and the Database Manager, open mail, scan, distribute, and process all donations, including recording all in-kind and monetary donations, tributes, timely entry of all pledges, grant letters, soft credits and relationships. 
  • Manage data accuracy by entering constituent interactions and managing data scrubs and other updates, in coordination with the Database Manager. 
  • Monitor proper attribution to all donations, ensuring accurate reporting and analysis of fundraising efforts.
  • Manage and execute the gift acknowledgement and thank you process, reviewing gift and donor information, printing, stuffing, stamping, and mailing. 
  • Distribute and monitor the execution of personal thank you notes, ensuring the advancement team is properly prepared and supported for individual donor relations. 
  • Monitor stock levels of all letterhead, envelopes, and various other advancement and marketing related materials, working closely with the Graphic Designer for purchasing. 
  • Monitor all advancement staff donor actions, communications, notes, etc. to ensure that all donor information is accurate and up to date in BlackBaud. 
  • Answer the seminary phone and respond to all inquiries.

General Advancement Duties

  • Staff the front desk, specifically in relation to on-campus events, in order to direct campus visitors. 
  • Maintain and organize the advancement archive of past appeals, marketing materials, and SVS Press materials. 
  • Support seminary-wide events including managing guest lists, payments, and RSVPs in BlackBaud. Assist with coordination and planning of donor/alumni gatherings and follow-ups throughout the year.
  • Coordinate mailing execution for appeals, ordering materials, printing letters, and organizing signers and volunteers. Generate and mail tax acknowledgement letters in a timely manner.
  • Research and document all new donors, prospects, and gifts/grants from individuals, foundations, and companies, ensuring accuracy of strategic planning. 
  • Assist advancement team with all other administrative tasks, as needed, under the direction of the Chief Advancement Officer. 

Requirements:

  • Takes initiative and demonstrates flexibility in time and attitude to get the job done
  • Bachelor’s Degree.
  • 2–3 years experience in a similar role.
  • Excellent relationship management and interpersonal skills: the ability to work effectively with donors, volunteers, and staff; superior judgment and diplomatic skills; excellent verbal and written communications skills.
  • The ability to handle multiple tasks with organization and accuracy.
  • Proficiency in MS Office Suite (Word, Excel, etc), and Blackbaud Raiser's Edge NXT.
  • Previous fundraising event coordination experience, specifically fundraising events (silent auctions, galas, etc.).
  • Intimate knowledge of Orthodox conventions and protocol.
  • On-site work Mon–Fri during normal business hours.
  • Availability in the evenings and weekends, from time to time, is required, as well as some travel. 
  • This position is required to be on-site during heavy solicitation times of the year, i.e., Christmas, calendar year end, Lent/Easter, and the fiscal year end. 

Some travel will be required, as well as some weekend hours, from time to time. This position is full time and includes benefits. Salary is commensurate with experience.
